POSITION SUMMARY The Event Services Manager supports the Director of Event Services in maximizing the utilization of the Broward Center for the Performing Arts (BCPA), the Parker Playhouse (PKR). And Performing Arts Center Authority (PACA) managed venues to facilitate successful event execution and create a positive experience for partners, users, attendees, and the PACA Event Services staff.
ESSENTIAL FUNCTIONS - Assist the Director of Event Services in evaluating systems, procedures, contracts, and fee structures as it relates to event management.
- Assist in the updating and maintenance of the BCPA and PKR Event Calendars to reflect the most current information and to actively avoid conflict.
- Establish positive relationships with PACA's renters to maximize satisfaction to the users and audiences focusing on maximum return (financial and mission) to PACA.
- As assigned by the Director of Event Services, oversee the coordination and implementation of all details of PCPA and PKR renter's contracts, scheduling, contracting, ticket requirements and management, show estimates and budgeting, and event planning to create a positive experience for the renter and the PACA staff.
- Manage the promotion of effective processes for event communications throughout PACA to ensure accurate information is disseminated and understood by relevant departments and individuals.
- Respond promptly to rental inquiries and internal scheduling requests for purpose of discovery, sales, and date availability.
- Maintain accurate and detailed records of all date communications with renters and internal scheduling requests.
- Manage distribution of event related information to other departments including calendar listing status, event requirements, and other information required for the efficient and successful production of events.
- Prepare and process facility use contracts and related documents for review and approval by the Director of Event Services and the Vice President of Operations.
- Encourage an atmosphere of service throughout the organization and assure that Event Services provide a high quality of service.
- Maintain positive working relationships with all internal and external customers.
- Manage and coordinate hospitality, show catering, travel and hotel rooms for the Parker PACA presented programming.
- Advise the Director of Event Services,internal departments, and external clients to evaluate develop and implement strategies to improve event management.
- Manage support needs for events to ensure the proper and effective execution of the event requirements to meet the satisfaction of the renter/client to include VIP meet-n-greet experiences and special event engagements.
- Manage and collaborate with the Education Department logistics of Education activity, including but not limited to parking, room availability and general operational flow.
- Promote the Arts Access program to organizations to encourage long term relationships within the community and arts organizations.
- Oversee the Arts Access program by working with internal teams for review of applications and communications with client on status of application
- Liaison for approved Arts Access clients
- Complete additional responsibilities as assigned

- Able to create and manipulate spreadsheets.
- Knowledge of content and implementation of contracts.
SUPERVISORY RESPONSIBILITIES DESIRED EDUCATION AND EXPERIENCE - BA/BS or Higher: Theater Concentration/or any equivalent combination of training and experience.
