WHAT YOU WILL DO

This position is open only to Colorado state residents.

The Office of the Attorney General (OAG) consists of the elected Attorney General, Chief Deputy Attorney General, Associate Chief Deputy Attorney General, Solicitor General, Deputy for Intergovernmental Affairs, Director of Communications, and associated administrative staff. The OAG is responsible for setting legal policy for the Department of Law and for the State of Colorado. The OAG manages the Department of Law through the work of nine operational sections, Consumer Protection, Criminal Justice, Criminal Appeals, State Services, Revenue & Regulatory Law, Civil Litigation & Employment Law, Natural Resources & Environment, Division of Community Engagement, and Administration.

The Department of Law represents and defends the legal interests of the people of the State of Colorado and its sovereignty. The Attorney General has primary authority for enforcement of consumer protection laws, prosecution of criminal appeals, antitrust laws, and certain natural resource and environmental matters and complex white-collar. The Attorney General is the chief legal counsel and advisor to state government including the governor, judicial branch, and the many state agencies, boards, and commissions.

This is a term-limited position that is expected to last until August 2026 but may be adjusted based on the business needs of the office.

This Front Desk Coordinator (Administrative Assistant II) will mainly provide front desk office support at the Wells Fargo Building, also referred to as DOL North. This person will also be responsible for managing mail received via United State Postal Service (USPS), delivery services, and e-filing. Specific responsibilities include:

Front Desk Office Support
  • Greet visitors to the Department of Law
  • Answer and direct calls received on the main telephone line
  • Collect call tracking data, such as total number of calls, call types, and other relevant call information
  • Provide timely and professional response to voicemail messages
  • Accept deliveries and service of processes for the Department


Document Receiving, Sorting and Distribution
  • Sort and distribute USPS mail and e-filings daily to appropriate sections
  • Oversee mail and e-filing processes
  • Accept and route Service of Process, deliveries and packages for the Department
  • Log in service of process and other documents


Miscellaneous Office Duties
  • Support operational functions by assisting with unit and administrative tasks (e.g., make photocopies and produce written documents such as reports, spreadsheets, and other related materials as requested)


This recruitment may be used to fill more than one Administrative Assistant II positions in the Administration section.

Salary note: Although a salary range is listed, salary will be set commensurate with the successful candidate's qualifications and in compliance with the Equal Pay for Equal Work Act.

WHAT WE ARE LOOKING FOR

Minimum Qualifications: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated.

  • Two years of administrative assistant or clerical support in a professional office setting as the main function of your job. This experience must include providing front-facing customer service and managing calls.


OR

  • A combination of related education and/or relevant experience in administrative assistant or clerical support in a professional office setting as the main function of your job totaling two years.
  • Qualified applicants must have at least one year of administrative assistant/office clerical support experience, which includes providing front-facing customer service and managing calls.


If qualifying under the substitution, you will be required to provide a copy of your transcripts at time of application.

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

  • Time management skills, including the ability to adapt as needed to meet shifting priorities and deadlines
  • Proficiency in MS Office, including Word, Excel, and Outlook

  • Organizational skills, including the ability to plan and prioritize tasks


Preferred Qualifications:

  • Experience working with confidential information
  • Experience managing a high volume of calls
  • Experience working for executives, including escorting guests, answering calls, and drafting correspondence
  • Advanced proficiency working with Microsoft Suite (Word, Excel, PowerPoint, Access, Outlook, Teams and SharePoint)
  • Experience working in a mail room or managing mail distribution
  • Additional experience beyond the two years providing administrative support.


Conditions of Employment:

  • Applicants must pass a thorough background investigation prior to appointment.
  • The position will be required to work in the office 5 days per week (Monday -Friday) from 8:00 am - 5:00 pm.
  • Majority of work will be performed at DOL North location (1700 Lincoln Street), however occasionally work will be performed at DOL South location (1300 Broadway).
