We are a well-established construction company in business for over 30 years seeking an Administrative Assistant to join our team. We would like someone who has experience or interest in interior design/architecture. You will perform clerical and administrative functions that support and drive company success.

 

Responsibilities:

· Draft general correspondences and other formal documents such as project proposals

· Plan and schedule appointments and events with clients and subcontractors

· Greet and assist onsite guests such clients, subcontractors, architects and design teams

· Receive inbound telephone calls and relay messages and inquiries

· Maintain organized online and physical filing systems

· Perform general office tasks as instructed by daily work orders

· Assist in procuring material and supplies, and acquiring work permits

· Gather and organize weekly timecard submissions for payroll and invoicing

· Schedule/coordinate subcontractors to site

  • Assist with site binders/organization such as tile schedules, paint schedules, etc.

· Acquire parking variances on job sites

· Create employee schedules for weekly distribution

Qualifications:

· Previous experience in office administration with knowledge of the construction/interior design/architecture industry preferred

· Ability to prioritize and multitask

· Working knowledge of Microsoft business applications

· Excellent written and verbal communication skills

· Ability to build professional relationships and act as a team player

· Strong attention to detail

· ​Strong organizational skills
