Parts Billing Coordinator Location Minneapolis, MN :
Job Summary: We are looking for an excited individual to join the Parts Department Team at our corporate headquarters in Maple Plain, MN. The primary function of a Billing Coordinator is to provide operations support to the Parts Department including data entry, invoicing, and customer service. You will be assisting the Parts Management staff with customer contact, invoicing, as well as additional special projects as needed to ensure the growth and productivity of the Parts Department. Duties/Responsibilities: - Process Sales Orders for service invoicing. This includes ensuring that parts are accounted for when sales orders are approved for billing.
- Contact Service Technicians and work with service to ensure correct items, quantity, etc. are being billed.
- Manages all administrative functions for the Parts Department with little to no supervision.
- Ensures that all calls are handled in a professional manner.
- Process orders for approval accurately and in a timely manner.
- Verify the accuracy of invoices and resolve any discrepancies.
- Communicate with technicians regarding item/receipts inquiries and returns.
- Collaborate with other departments to ensure billing processes are efficient and effective.
- Performs other related duties as assigned.
Required Skills/Abilities: - Basic understanding of clerical and administrative procedures.

- Ability to work independently and in a team environment.
- Proficient in Microsoft Office Suite or similar software
- Basic understanding of parts and equipment (engines, axles, hydraulics, etc.)
Education and Experience: - High school diploma or GED
- Associates degree or vocational school training preferred
- Years of data entry/office experienced preferred
- Heavy Equipment and Mechanical background a plus
- Netsuite experience a plus
Physical Requirements: - Prolonged periods sitting at a desk and working on a computer.
