About Panavision:

The Panavision group supports filmmakers working on movies, television series, commercials, and beyond, providing: filmmaking equipment rentals for lenses, cinema cameras, grip, and lighting, stage facilities for filming, post-production services including dailies, visual effects, and final color grading and much more.

Job Scope:

The Receptionist will provide efficient telephone service for customers and employees. This individual will greet visitors and clients with courtesy and direct them to the appropriate department upon entry to the office.

Key Responsibilities:

  • Greet and welcome visitors in a warm professional manner, ensuring a positive first impression.
  • Facilitate the client sign-in process within the company's visitor notification system.
  • Notify Panavision staff of visitor arrival and direct clients to the appropriate location within the facility to conduct their business needs.
  • Operate/answer multi-line phone system, managing incoming calls, direct and transfer calls as necessary, while keeping clients informed.
  • Liaise with the security team to ensure that no one has access into the facility without authorization and/or appointment. Ensure thorough hand off in the evenings and mornings with the night security guard.
  • Act as the central point of communication for the front desk, ensuring communication and work instructions are being managed over the 24-hour operation.
  • Manage, administer, and maintain the access control logs, ensuring that authorized personnel only are granted access into the facility after hours.
  • Accept deliveries and ensure the appropriate employees receive them.
  • Maintain an organized and clean reception area.
  • Support Executive admin as needed with any calendaring or overflow work.
  • Support the Sales team with light administrative office work, data entry, note taking, presentations.
  • Additional duties as assigned
Skills/Experience Required:
  • Knowledge and experience operating a telephone system.
  • Awareness of office procedures and protocols.
  • Knowledge of the office facilities, departments and local area.
  • Experience with Microsoft Office (Outlook, Excel, Microsoft Word).
  • Strong verbal and written communication skills. The Front Desk Receptionist needs to display effective communication skills both in-person and on the telephone with customers and employees.
  • Self-initiative and motivation with the ability to work independently.
  • Ability to multi-task, prioritize work and manage time efficiently in a fast-paced environment.
  • Strong organizational skills
  • Enhanced customer service skills
  • Attention to detail. Reliability and flexibility to work overtime.
  • Ability to exhibit professionalism throughout all interactions with customers and employees.

Work Environment and Physical Demands:

This job operates in a professional office environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands and reach with hands and arms. The employee may also be required to lift product or equipment weighing up to 25 lbs.

Position Type/Expected Hours of Work:

Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position.

This position works standard business hours but may require long hours and some weekend work.

Travel:

Some out-of-state/country and overnight travel may be expected.
